Barcode not scanning? A checklist
Work through the points from top to bottom. The first ones take seconds and catch many problems.
1. Can the scanner read this symbology at all?
- 1D laser scanners cannot read 2D codes such as QR Code, Data Matrix or PDF417. You need an imager.
- Scanners read only the symbologies that are enabled. Less common ones (Code 93, ITF, Micro QR, Aztec, GS1 DataMatrix with symbology identifiers) are often disabled by default. Check the scanner’s configuration.
- Test with a second device. If a phone app or the Barcode Decoder reads it, the print is probably fine and the scanner setup is the problem.
2. Is the data valid?
A barcode can be readable and still be rejected by the system behind the scanner:
- wrong GTIN check digit: check it with the GTIN Validator
- malformed GS1 data, missing FNC1 separators, invalid dates: check it with the GS1 Parser
- the receiving system expects a different format, e.g. GTIN-14 instead of GTIN-13
3. Is the quiet zone free?
Text, lines, the label edge or another code inside the margin are a very common cause. Required margins per symbology: Barcode quiet zones.
4. Is it large enough?
If the module width is too small for the printer or the scanner, bars merge or break up. Check what the module width really is after rounding to printer dots in the Barcode Size & Quiet Zone Calculator.
5. Contrast and print quality
- Dark bars on a light background. Red, orange or yellow bars, and dark or glossy backgrounds, are hard for scanners that use red light.
- Faded print: increase darkness (
~SDor^MD) or lower the print speed (^PR), check ribbon and media. - Smeared or bleeding bars: darkness too high or speed too high.
- White lines through the bars: often a damaged or dirty printhead.
6. Inverted, mirrored or distorted?
Light bars on a dark background (reverse print, ^FR), mirrored print, curved surfaces and glare from foil or shrink wrap all make scanning harder.
Let the tools look at it
- Label Doctor: describe the symptom, add the ZPL and a photo, get possible causes with evidence
- Barcode Quality Inspector: resolution, contrast, sharpness, quiet zone and error correction reserve from a photo (heuristic, not an ISO/IEC verification)
- ZPL Viewer: check positions, sizes and fields that leave the label
For formal grading according to ISO/IEC 15416 (1D) or 15415 (2D) you need a calibrated barcode verifier. Photos and our tools can point to the cause, they cannot replace that.
